The Order Was Confirmed. We Checked Again—and Found an Important Change

A confirmed order may look ready to process, but when payment or a project has been delayed, the old information should never be treated as final.

We recently handled an artificial grass accessory order that clearly showed why this extra confirmation matters.

During the first discussion, the customer told us that their installation team was using a two-component adhesive. Based on this information, we prepared the order with the white joining tape selected for that adhesive system.

The order details were confirmed, but payment was not completed at that time. The order then remained pending for a period.

When the customer contacted us again, we reviewed the previous quotation and communication records. The product names, quantities and packaging all appeared clear. It would have been easy to continue directly from the old order.

However, before arranging shipment, we contacted the customer again and reconfirmed the key application details.

One question changed the accessory selection:

“Are you still using the two-component adhesive?”

The customer explained that their previous installation experience had not gone as planned. The two components needed to be mixed thoroughly and in the correct proportion, but the workers had difficulty keeping the mixture uniform during installation. This affected the final bonding result.

Because of that experience, the customer had changed to a one-component adhesive for their current work.

The project had changed, but the old order record had not.

After receiving the updated information, we replaced the originally selected white joining tape with the black joining tape option that matched the customer’s current adhesive system. The change was completed before shipment, helping avoid a situation where the accessories arrived but were no longer suitable for the customer’s actual method.

This experience reinforced an important rule in our export process:

When an order has been delayed, reconfirm everything.

The details that may change include:

  • Product specifications and quantities
  • Adhesive and accessory requirements
  • Roll sizes and packaging
  • Delivery address and contact information
  • Project schedule and application
  • Label, carton or pallet requirements

Reconfirmation does not mean that the previous information was incorrect. It simply recognizes that projects, working methods and customer requirements can change over time.

For B2B suppliers, following an old order sheet is not enough. A short message before production or shipment may reveal an important update and prevent unnecessary after-sales problems.

In this case, the final confirmation took only a few minutes, but it helped ensure that the products prepared for shipment reflected the customer’s current needs—not only their original plan.
